I would like to throw a some warnings to professional email users.


Proper business email is one of the toughest things to set up, the number of setting you have to get right in your zone editor to assure gmail or hotmail does not block your email is intense. Even using your own domain and a reputable service like WHC brings a world of problems. There is always a middle company (the servers where your mail is hosted) that interferes with your email so that the server does not get banned.

I have tried most every service over the years and for one of my businesses I use Amazon to send out because it is hard to ban their server but even then once you get your zone manager properly set up you need insane redundancies to assure smooth flow of email.

For hotmail/outlook it is also difficult because if they ban spacemail or flag it it can affect all accounts. If you don't believe that look at Proton Mail, they are notorious for getting caught in gmail or hotmail spam filters. Even worse though is the email you never see, gmail will filter emails before they ever hit your spam box so you have no idea you did not receive an important email.

For one of my businesses hotmail even banned an Amazon server and the way we finally got around it was to uses dozens of outbound addresses to send like...

appointment@business1mail.com
reminder@business1mail.com
nopreply@business1mail.com

So you see wedont actually use @business1.com instead we use @business1mail.com and if that gets flagged we can use @business1inbox.com or similar but in most cases just a single address gets banned but since we send out using many we just have to change that address and or the server we send on.

An example like this is also for forum software and dnforum.com is still having insane email delivery issues because they don't have it set up right and are using their main email address to send.


I went back to Google Workspace but again the amount of testing and Zone editor settings to get it right is days and days of work.

If you use WHC email forwarding for instance you instantly do not pass and risk getting flagged. Its a cool setup for receive me@domain.com traffic as long as its occasional and it generally gets through. Use it for anything larger and the risks become greater with each passing day.

I recently helped a local internet provider to set their zone editor correctly after gmail blocked their servers and even my mail using Google Workspace to send was flagged by their own servers. This account was paid both to send and receive, administered front to back by google but if customers hit spam insted of unsubscribing you run into issues.

Proton mail is a nightmare, DO NOT USE IT FOR BUSINESS, the free providers block it on purpose because it takes away from their paid services. I fear SpaceMail and similar has no real chance in this game of cat and mouse.

So if Amazon servers can get blocked the only safe choice is to use gmail/workspace or hotmail/outlook for business but even then if you do any mail volume you have to be forever diligent. Host your domain on a professional cPanel hosting package ( dn uses WHC.ca) and administer your dns and zone editor settings carefully. Mine are finally bulletproof and that is why all aspects of mail has to be configurable by your site admin.

PS. The easiest in my history was Google Domains, that just worked with gmail but even that has gone to hell in a handbag since the buyout.
